FAQ

Frequently asked questions about CS Logbook

What is CS Logbook?

CS Logbook is a controlled substance tracking system for veterinary practices, designed to aid DEA-compliant recordkeeping. It enforces required fields before a record is saved, keeps entries append-only so nothing is silently edited after the fact, calculates running balances automatically from transaction history, requires a witness on waste and disposal entries, and records every correction as a new entry that references the original. You get the familiarity of a simple running log with the compliance structure of purpose-built software.

What does CS Logbook enforce at the database level?

Enforcement lives in the database, not in the interface, so it cannot be worked around by editing a cell. Transactions are immutable at the database level: an attempt to update one is rejected outright, and errors are fixed by recording a correction that preserves the original entry. Required fields are validated before a record is saved, running balances are derived from transaction history rather than typed in, and waste and disposal entries require a witness on the record. Compliance warnings are advisory by design, so CS Logbook alerts you to an issue but never blocks you from recording a transaction.

Is CS Logbook HIPAA compliant?

HIPAA does not apply to veterinary practices. Animal medical records are not "protected health information" and veterinarians are not "covered entities" under HIPAA — so there is no HIPAA compliance for us, or for you, to claim. Be cautious of any veterinary software marketed as "HIPAA compliant." The rules that do govern your controlled-substance records are DEA 21 CFR Parts 1300–1304 and 1317, your state veterinary practice act (which sets client and patient record confidentiality and retention), your state prescription-monitoring reporting requirements, and — for pet-owner personal information — state consumer-privacy laws such as California's CCPA/CPRA. CS Logbook is built against those. As always, consult your own counsel or compliance officer for determinations about your practice.

Which DEA regulations does CS Logbook address?

CS Logbook is designed to help veterinary practices meet the record-keeping requirements of DEA 21 CFR Part 1304, which requires maintaining accurate records of all Schedule II–V controlled substance receipts, dispensing, and disposals, with a running balance. It also supports the corrections and waste documentation workflows required by DEA guidance. CS Logbook does not replace a compliance officer or legal counsel.

How many users can access CS Logbook?

Unlimited staff users, and unlimited clinics. Pricing is per DEA-registered veterinarian ($50/month or $500/year each), not per staff member, so technicians and practice managers do not add to the cost. Role-based access menus mean each user sees the workflow appropriate to their role. The same veterinarian working at two of your clinics counts as one seat, not two.

When does CS Logbook launch?

CS Logbook is in active development and is expected to launch in 2026. It is a cloud-native web application with a true immutable audit log, role-based access control enforced at the database level, and US data residency. Join the waitlist to be notified when it's ready.
