Privacy Policy

Effective June 29, 2026

Gleason Digital LLC (“we,” “us,” or “our”) operates CS Logbook. This Privacy Policy explains how we collect, use, and protect information about you when you use our website at cslogbook.com and our products. We are committed to handling your information transparently and responsibly.

1. Information We Collect

Account information: When you create an account or join the waitlist, we collect your name, email address, and clinic name. This information is used to manage your account, communicate with you, and provide the Service.

Billing information: Payment processing is handled by Stripe. We do not store your credit card numbers on our servers. Stripe's privacy policy governs the handling of your payment data.

Usage data: We use Umami Analytics, a privacy-preserving analytics tool, to understand how visitors use our website. Umami does not use persistent cookies, does not track individuals across sites, and does not collect personally identifiable information. See Section 3 for details.

Support communications: If you contact us by email, we retain those communications to resolve your issue and improve our support.

2. Your Controlled Substance Records

Your controlled substance logs, patient records, and all regulated data are stored on CS Logbook infrastructure hosted in the United States. We maintain these records with appropriate security controls and in accordance with the DEA 2-year retention requirements under 21 CFR Part 1304.

3. Analytics — Umami

We use Umami Analytics to understand traffic and usage patterns on cslogbook.com. Umami is a privacy-first analytics platform:

  • No persistent cookies are set by Umami
  • No cross-site tracking or fingerprinting
  • No personally identifiable information is collected
  • Data is aggregated and anonymized
  • Designed to be privacy-preserving: because it is cookieless and collects no personally identifiable information, no analytics consent banner is required

Because Umami does not use cookies, no cookie consent banner is required for analytics tracking on this site.

4. How We Use Your Information

We use account and contact information to:

  • Create and manage your account or waitlist entry
  • Send transactional emails (confirmations, receipts, account notices)
  • Respond to support requests
  • Send product updates and announcements (you may opt out at any time)
  • Improve the CS Logbook product based on feedback

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

We may disclose your information when required to comply with applicable law, a court order, subpoena, or other valid legal process, or a government or regulatory request; to enforce our agreements; or to protect the rights, property, or safety of Gleason Digital LLC, our users, or others. If Gleason Digital LLC is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction; we will require the successor entity to honor the commitments in this Privacy Policy.

5. Third-Party Services

We use the following third-party services that may process your information:

  • Stripe — Payment processing
  • Resend — Transactional email delivery
  • Supabase — Database and authentication infrastructure (US-hosted)
  • Umami Analytics — Privacy-preserving website analytics

Each of these services has its own privacy policy governing their use of your data.

6. Data Retention

We retain account information for the duration of your subscription plus a reasonable period thereafter. Waitlist signups are retained until you request removal. Controlled substance records are retained for a minimum of 2 years in accordance with DEA requirements under 21 CFR §1304.04(a).

You may request deletion of your account information at any time by emailing privacy@cslogbook.com. Records subject to DEA retention requirements cannot be deleted during the mandatory retention period.

7. Security

We implement reasonable technical and organizational measures to protect your information, including encrypted transmission (TLS) and access controls that isolate each account's data. No system is perfectly secure, and we cannot guarantee absolute security.

If you believe your account has been compromised, contact us immediately at privacy@cslogbook.com.

8. Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information (subject to legal retention requirements)
  • Opt out of marketing communications at any time
  • Receive a copy of your data in a portable format

To exercise any of these rights, contact privacy@cslogbook.com. We will respond within the time required by applicable law (generally within 45 days under the California Consumer Privacy Act, with extensions where the law permits).

9. California Privacy Rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you the rights described in Section 8 (to know, access, correct, delete, and receive a portable copy of your personal information), subject to legal retention requirements. In addition:

  • We do not sell or share your personal information as those terms are defined under the CCPA/CPRA, and we have not done so in the preceding 12 months. We do not use or disclose sensitive personal information beyond the purposes permitted by law.
  • Non-discrimination. We will not discriminate against you for exercising any of your privacy rights.
  • Authorized agents. You may use an authorized agent to submit a request on your behalf; we may require verification of the agent's authority and your identity.
  • Right to appeal. If we decline your request, you may ask us to reconsider by replying to our response or contacting us at the address below.

Signed-in users may submit access or deletion requests directly from their account settings (Privacy & your data). You may also email privacy@cslogbook.com.

10. Children's Privacy

CS Logbook is intended for use by licensed veterinary professionals and business operators. We do not knowingly collect information from anyone under 18 years of age.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you by email and by posting a notice on our website before material changes take effect. The date at the top of this page indicates when this policy was last revised.
