Gleason Digital LLC (“we,” “us,” or “our”) operates CS Logbook. This Privacy Policy explains how we collect, use, and protect information about you when you use our website at cslogbook.com and our products. We are committed to handling your information transparently and responsibly.
Account information: When you create an account or join the waitlist, we collect your name, email address, and clinic name. This information is used to manage your account, communicate with you, and provide the Service.
Billing information: Payment processing is handled by Stripe. We do not store your credit card numbers on our servers. Stripe's privacy policy governs the handling of your payment data.
Usage data: We use Umami Analytics, a privacy-preserving analytics tool, to understand how visitors use our website. Umami does not use persistent cookies, does not track individuals across sites, and does not collect personally identifiable information. See Section 3 for details.
Support communications: If you contact us by email, we retain those communications to resolve your issue and improve our support.
Your clinic's controlled substance records, and the client (pet-owner) and patient information your clinic enters, are stored on CS Logbook infrastructure hosted in the United States and protected with the security controls described in Section 7.
For this information, your clinic decides what is collected and why, and we process it on your clinic's behalf as a service provider under our Data Processing Addendum. If you are a pet owner, please direct requests about your information to your veterinary clinic; we will help the clinic respond.
CS Logbook does not set a retention period for these records and does not delete them because of their age. How long records must be kept is determined by the DEA registrant and the clinic under the rules that apply to them.

We do not sell, rent, or trade your personal information to third parties for marketing purposes.
CS Logbook does not use your records or other customer data to train or improve generalized artificial intelligence or machine-learning models without the account owner's prior affirmative consent. Future AI-enabled features may process customer data to provide functionality you request; any third-party AI provider that receives customer data for such a feature is treated as a subprocessor. Any such processing will be governed by our Terms of Service, this Privacy Policy, and, where applicable, our Data Processing Addendum and subprocessor disclosures.
We may disclose your information when required to comply with applicable law, a court order, subpoena, or other valid legal process, or a government or regulatory request; to enforce our agreements; or to protect the rights, property, or safety of Gleason Digital LLC, our users, or others. If Gleason Digital LLC is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction; we will require the successor entity to honor the commitments in this Privacy Policy.

We also run Umami website analytics and GlitchTip error monitoring on our own infrastructure; neither sends your information to a third party. Each third-party service above has its own privacy policy governing its use of your data. We maintain a current subprocessor list and give appropriate notice of material additions or replacements, subject to applicable law and our agreements, as described in our Data Processing Addendum.
We retain account information for the duration of your subscription plus a reasonable period thereafter. Waitlist signups are retained until you request removal.
CS Logbook does not set a retention period for your clinic's records and does not delete them because of their age. After a subscription is canceled, the account is read-only for 90 days so you can export your records. When that window ends, access ends; the records are not deleted because the window ended.
You may request deletion of your account information at any time by emailing privacy@cslogbook.com. For your clinic's records: On the account owner's verified written request, we will delete or de-identify customer data associated with the account, subject to information we must retain for legitimate legal, security, record-integrity, or other permitted purposes. Before processing the request, we will offer an opportunity to export the account's records. Whether your own record-keeping obligations allow removal is your determination as the DEA registrant and clinic. Copies may persist in routine backups until those backups expire under their normal cycle.
We implement reasonable technical and organizational measures to protect your information, including encrypted transmission (TLS) and access controls that isolate each account's data. No system is perfectly secure, and we cannot guarantee absolute security.
If we confirm a security breach affecting your information, we will notify affected customers without undue delay, as described in our Data Processing Addendum and as applicable law requires.

These rights cover information we hold about you as a CS Logbook user. For client or patient information a clinic has entered, please contact that clinic (see Section 2).
To exercise any of these rights, contact privacy@cslogbook.com. We will respond within the time required by applicable law (generally within 45 days under the California Consumer Privacy Act, with extensions where the law permits).
If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you the rights described in Section 8 (to know, access, correct, delete, and receive a portable copy of your personal information), subject to the exceptions the law provides. In addition:

CS Logbook is intended for use by licensed veterinary professionals and business operators. We do not knowingly collect information from anyone under 18 years of age.
We may update this Privacy Policy from time to time. We will provide notice of material changes, or obtain your consent, where applicable law requires it. The date at the top of this page indicates when this policy was last revised.
